Job Description

The Administrative Sales Coordinator will support primary office functions and provide support for our sales department. This position requires someone who is service-oriented, highly organized, motivated, and friendly.

Essential Duties & Responsibilities:
  • Answer phone calls and take messages.
  • Assist customers and direct them to appropriate resources as needed.
  • Create daily calendar sheets and packets for templaters and installers.
  • Account Receivable: Enter estimates, invoices, PO’s, credit memos, customer pick-up tickets, etc.
  • Accounts Payable: Enter bills, vendor credit memos, mail checks, etc.
  • Keep inventory logs as slabs are received.
  • Create, organize, and update job folders in both paper and electronic format.
  • Track missing information on jobs needed before templating.
  • Update information on paperwork and in google calendar including any changes as they occur.
  • Assist and perform shipping responsibilities.
  • Track and order office and shop supplies.
  • Ensure sinks are stocked.
  • Create and maintain sales log for retail and wholesale.
  • Secure and close the main office area at end of the day: Lock front and side door light off.

Experience/Qualifications:

  • Minimum of two (2) years of administrative experience.
  • High school diploma.
  • Proficient in QuickBooks, Microsoft office suite, and google docs/calendar.

Skills/Knowledge:

  • Organizational skills.
  • Customer service.
  • Communication skills.
  • Attention to detail.
  • Basic to intermediate math.
  • Proficient in QuickBooks, Excel, and Outlook.

  • Ability to safely and successfully perform the essential job functions consistent with federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with federal, state, and local standards.
