Business Overview:

The Talent Acquisition team within Human Resources teams covers talent attraction and acquisition for the Americas platform across all levels and Business and Functional unit. The team includes business line specialized executive level recruiters, generalist recruiters, and campus recruiters.

Responsibilities: 

The primary role of the Recruiting Administrative Assistant is to support the day-to-day administrative needs of the Talent Acquisition team 

• Expense Management –T&E expense claims for all team members with a priority on Sr. Recruiters and Team Managers
• Manage interview scheduling for Executive Recruiting in conjunction with the administrative assistants of senior business leaders 
• Support scheduling and execution of Early Careers super days (both in person and virtual) 
• Coordinate on-site interview needs including room booking, greeting candidates, and moving candidates around the building.         
• Actively manage the calendars of the Head of Talent Acquisition and Executive Recruiters
• Book international & domestic travel arrangements and organize itineraries as needed
• Coordinate or support events managed by Talent Acquisition (Career Fairs, Diversity events, etc.) 
• Assist in data quality checks and reporting
• Manage ad hoc requests.

Minimum Required Qualifications:

• 2 + years of relevant experience.
• Strong organizational skills, the ability to be collaborative and overcome obstacles. 
• Excellent calendar management skills, including the coordination of complex executive meetings.
• Detail oriented, flexible and enjoy the administrative challenges of supporting executive level employees.
• Ability to flex location between Jersey City and New York office spaces
• Excellent written and verbal communication skills.
• Moderate technology skills including Excel, Word, Teams and Outlook.
• Knowledge of principles and processes for providing customer and personal services.

Preferred Qualifications:

• Experience handling confidential materials at all levels.
• Knowledge of administrative and clerical procedures and systems (MyProcedures, Concur, etc.)

The expected starting salary range for this position is between $90,000  to $100,000 annually. The actual salary may vary based upon several factors including, but not limited to, relevant skills/experience, time in role, base salary of internal peers, prior performance, business line, and geographic/office location.
